Gadoci Consulting is an AI Operations consultancy. The job is helping companies figure out how AI fits into the way they actually work, not the way a demo suggests they should work. So it got built here first.
The system is seven scheduled tasks orchestrated across a daily timeline. They connect ten external systems: Gmail, Slack, Notion, Google Calendar, Fireflies meeting transcripts, iMessage, n8n automation webhooks, GitHub, the Solutioner.ai platform, and the local filesystem. Each task has specific instructions, specific data sources, and a specific role in the chain. They aren't isolated automations. They're sequenced, and the output of one feeds the input of the next.
What the system actually does
The overnight cycle starts at 3 AM with housekeeping. An AI agent audits the working repository, moves misplaced files into their correct directories, and cleans up anything that drifted during the day. An hour later, a second task checks whether anything changed, writes a commit message based on the actual diff, and pushes to GitHub. That same hour, a third task writes a daily journal entry. It reads email, Slack, calendar, Fireflies transcripts, and text messages, then writes a 200-400 word first-person narrative about the day. Not a status report. A founder's memoir entry that captures what happened and why it mattered.
The morning cycle is where it gets interesting. At 5:30 AM, the prospect sync task wakes up and scans the last 72 hours of every communication channel. It pulls the full prospect database via webhook, pulls the active client list from Notion, and starts cross-referencing. Did someone reply to an outreach email? Did a prospect text something informal that signals a timeline change? Did a teammate schedule a meeting with a new contact? It updates records with new dates, appended notes, and status changes where the evidence is clear. It also filters out noise. Routine delivery work for active clients gets skipped. The design decisions that matter
A few things about this system are worth calling out because they apply to any organization thinking about AI operations.
The tasks are chained, not isolated. The prospect sync runs before the pipeline review specifically so the review works from accurate data. The file organizer runs before the commit task so changes get pushed. Sequencing matters. Autonomous AI tasks that don't account for data dependencies create more problems than they solve.
The system uses conservative defaults. Status changes on prospects only happen when there's explicit evidence. Silence doesn't mean a deal is dead. Drafts get created, not sent. Notes get appended, not overwritten. When the AI isn't sure, it flags the ambiguity instead of making a judgment call. This is essential. An AI system that's aggressive with decisions will lose your trust in a week.
Slack and Notion both serve as deduplication layers. Notion holds the structured records, prospect status, task completion, journal history, that tasks check before writing updates. Slack holds the conversational context. Multiple tasks read the same channels, but they all check what's already been discussed. If something was hashed out in Slack yesterday, the journal gives it a brief nod instead of re-narrating it. The morning brief does the same. This prevents the system from telling you the same thing four different ways.
The 72-hour lookback window on prospect communications exists because work doesn't happen in clean 24-hour blocks. Friday conversations carry into Monday. Weekend texts count. A system that only looks at yesterday misses real signals.
What this means
The patterns here are transferable.
